- Enter your unpaid break in minutes, such as 30 for a half-hour lunch.
- Enter how many days you worked this week with the same shift.
- Add your hourly rate to estimate pay.
- Press Calculate to see hours per shift in hours and minutes and as a decimal, and for the week.
How to calculate hours on a time card
Hours worked are the time between clock in and clock out, minus unpaid breaks.
- Shift length = clock out – clock in (add 24 hours if the shift passes midnight)
- Hours per shift = shift length – unpaid break
- Decimal hours = minutes / 60
- Weekly hours = hours per shift x days worked
- Pay = decimal hours x hourly rate
Worked example
You clock in at 9:00 AM and out at 5:30 PM. That is 8 hours 30 minutes. You take a 30 minute unpaid lunch, so you worked 8 hours 00 minutes, which is 8.00 decimal hours. Over 5 days that is 40 hours. At $20 an hour, a shift pays $160.00 and the week pays $800.00.
For a night shift from 10:00 PM to 6:00 AM, the clock-out time is earlier than the clock-in time, so the calculator counts the shift as running past midnight and finds 8 hours before the break.
Assumptions & limits
- Every day in the week has the same start, finish and break. For different days, run the calculator for each pattern and add the results.
- Times are in 15 minute steps, which suits most time cards. If your employer rounds time, such as to the nearest quarter hour, use their rule.
- Pay is the hourly rate times the hours, before taxes. Overtime, shift pay and tips are not included.
- A shift longer than 24 hours is not supported. The clock-out time is counted as the next time that clock reads.
- Decimal hours are useful for payroll forms that ask for hours as a decimal, such as 8.50 for 8 hours 30 minutes.
Frequently asked questions
How do I calculate hours worked on a time card?
Subtract the clock-in time from the clock-out time and take off any unpaid break. 9:00 AM to 5:30 PM with a 30 minute break is 8 hours.
How do I convert minutes to decimal hours?
Divide the minutes by 60. Thirty minutes is 0.5 hours and 15 minutes is 0.25 hours.
How does the calculator handle night shifts?
If the clock-out time is earlier than the clock-in time, the shift runs past midnight and 24 hours are added.
Are lunch breaks paid?
It depends on your employer and local rules. Enter the unpaid part of the break.
Does the calculator add overtime?
No. Use the Overtime Calculator if you worked more than your threshold.
Can I use it for part-time hours?
Yes. Choose the times you worked and the days.
